Planning a private event at Crown Perth: the honest checklist

After hundreds of functions, our events coordinator knows exactly which decisions matter and which ones guests agonise over for no reason.

Every event brief starts the same way: an occasion, a number and a date. Everything else follows from those three. The mistakes happen when people plan the decoration before they've answered the basics.

First, the honest numbers. The Cellar Room seats fourteen comfortably. The River Room takes twenty-four. The Terrace hosts sixty standing. Above that you're talking about a buyout, which changes the budget conversation entirely.

Second, the spend logic. Our rooms carry minimum food and beverage spends rather than hire fees, which means every dollar of the minimum lands on the plate. That's friendlier than it sounds.

Guests never remember the chair covers. They remember whether the food was hot and the toast ran on time.

The decisions that actually matter

Date flexibility is worth more than almost any concession. A Thursday instead of a Saturday can halve a minimum spend and double your room options. Similarly, a lunch event versus a dinner one changes the pricing band completely.

The run sheet matters more than the menu after a certain guest count. When do speeches land relative to courses, when does the AV go live, where does the birthday person think the surprise is coming from. Good events are edited, not just planned.

Decide date, headcount and occasion first; everything else is arithmetic.

The questions worth asking any venue

Ask what the minimum spend covers, who staffs the room, what the cancellation curve looks like and whether there's a coordinator on the night itself. If the answers are vague, the event will be too.

And ask about the after-party before you need it. At Crown that means the salon floor or the lounge, and a booking that ends the night inside the same building removes the one logistics problem nobody can control: getting everyone somewhere else.
